Terms of Service

Last updated: 11 October 2026

1. Acceptance of these Terms

These Terms of Service (“Terms”) apply to your use of Hisaabii Baqala, a point-of-sale and simple accounts service for grocery shops (baqalas) in Saudi Arabia, including its web app, desktop till app and ZATCA e-invoicing features (the “Service”).

By creating an account or using the Service you agree to these Terms for yourself and for the shop or company you represent.

2. What the Service does

The Service lets you sell at the counter by barcode, print receipts, issue simplified tax invoices and credit notes and report them to ZATCA, sell on credit and track what customers owe, record suppliers, purchases, stock and expenses, count the day's cash, and see simple reports such as profit and loss and VAT.

The Service is a record-keeping and invoicing tool. It is not an accounting, tax or legal adviser, and its reports are prepared from the figures you enter.

We may improve, change or remove features. Where a change materially affects you we will give you reasonable notice.

3. Your account and your responsibilities

Give accurate details when you sign up and keep your password private. You are responsible for everything done under your account and under the cashier accounts you create, and for removing access when a cashier leaves.

You are responsible for the accuracy and lawfulness of what you enter — including your CR and VAT numbers, address, product prices and VAT types, and the customer and supplier records you keep.

Customer and supplier credit: the amounts shown as owed by your customers or to your suppliers come from your own entries. Collecting or paying them is between you and them; we are not a party to those debts.

4. Fees and equipment

Fees for the Service, if any, and how they are paid are those agreed with you when you subscribe. Unless the law or that agreement says otherwise, fees already paid are not refundable.

The barcode scanner, receipt printer, cash drawer, computer and internet connection needed to use the Service are yours to provide.

5. Acceptable use

Use the Service only for the lawful business of your shop. Do not upload harmful software, infringe other people's rights, try to access other shops' data, try to copy or reverse engineer the Service except where the law allows it, or use the Service to break tax or privacy rules.

We may suspend or end access for a breach of these Terms, misuse, or risk to the Service or to other customers.

6. Your data and our software

You own the records you enter in the Service (“Your Data”). You give us permission to store, process and display Your Data only to provide and improve the Service and as described in the Privacy Policy.

Hisaabii Baqala and its licensors own the software, the brand and the guides of the Service. These Terms do not transfer any of that ownership to you.

7. ZATCA and tax

The Service helps you connect your baqala to ZATCA, issue simplified tax invoices with a QR code and report them. It carries out the technical steps; it does not take over your duties as a taxpayer.

You remain responsible for registering for VAT where required, for the correctness of your invoices, for making sure invoices that failed to send are retried, for keeping your tax records, and for filing and paying your VAT returns. The VAT report in the Service is a helper, not a filed return. We do not give tax, legal or accounting advice.

Sales on credit: the Service issues the tax invoice for a credit or part-paid sale when its payment is completed, dated that day; until then the sale has a credit slip that is not a tax invoice. You are responsible for making sure this suits your tax obligations.

8. Disclaimers and limits of liability

To the fullest extent the law allows, the Service is provided “as is” and “as available”, without warranties of any kind, including fitness for a particular purpose and uninterrupted or error-free operation.

To the fullest extent the law allows, Hisaabii Baqala and its suppliers are not liable for indirect or consequential losses, or for lost profit, revenue, stock, data or goodwill. Our total liability arising from these Terms or the Service will not be more than the fees you paid us for the Service in the twelve (12) months before the claim.

Where the law does not allow some of these limits, our liability is limited as far as the law permits.

9. Ending or suspending the Service

You may stop using the Service at any time. You can delete a baqala from My baqalas; this permanently removes its data.

We may suspend or end access for a breach of these Terms, non-payment of agreed fees, legal risk, or if the Service is discontinued. When access ends, your right to use the Service ends; we may delete or keep Your Data as the Privacy Policy and the law provide.

10. Governing law

These Terms are governed by the laws of the Kingdom of Saudi Arabia, and the courts of the Kingdom of Saudi Arabia have jurisdiction over any dispute, except where mandatory rules require otherwise.

11. Changes to these Terms

We may update these Terms from time to time. We will change the “Last updated” date and, for important changes, tell you through the Service or by email. Continuing to use the Service after the change means you accept the updated Terms.

Privacy Policy

Last updated: 11 October 2026

1. Introduction

Hisaabii Baqala is a point-of-sale and simple accounts service for neighbourhood grocery shops (baqalas) in Saudi Arabia. This Privacy Policy explains what information we collect when you use the Hisaabii Baqala web app and desktop till app (the “Service”), how we use it and who we share it with.

By creating an account or using the Service you accept this policy. If you do not agree, please do not use the Service.

2. Information we collect

Account details: your name, email address, password (stored only in hashed form), language and notification choices. Cashier accounts you add hold the cashier's name, email and password.

Baqala details: the shop name in Arabic and English, commercial registration (CR) number, VAT number, national address, logo, and the ZATCA device certificate created when you connect your baqala to ZATCA.

Records you keep in the Service: products, barcodes, prices and stock; sales, returns, receipts, tax invoices and credit notes; customers you sell to on credit (name and mobile number only), what they bought, paid and still owe, and the credit statements you create; suppliers, purchase orders, purchases and what you owe them; expenses; day cash counts; and your settings.

Technical data: IP address, browser and device type, the till the app runs on, the cookies needed to keep you signed in, and server logs used to run and protect the Service.

We do not collect payment card numbers. Card payments are taken on your own card machine; the Service only records that a sale was paid by card.

3. How we use information

We use this information to run the Service for you: signing you in, recording sales, printing receipts, keeping your stock, customer credit and supplier balances, preparing your reports, issuing tax invoices and reporting them to ZATCA, sending you notifications (low stock, near expiry, credit limit, ZATCA failures) and giving you support.

Customer credit statements: when you press the WhatsApp button, the Service opens WhatsApp on your device with a message for your customer that contains a private link to their statement. You send that message yourself; we do not message your customers.

We may use combined figures that do not identify you or your customers to understand how the Service is used and to improve it. We do not sell your data.

4. Who we share information with

ZATCA (Zakat, Tax and Customs Authority): your tax invoices and credit notes, and the baqala details ZATCA requires, are sent to ZATCA's Fatoora systems as the e-invoicing rules require.

Email delivery provider: used to send verification codes, password-reset codes and notification emails to you.

Automatic translation (optional, currently Google Gemini): when you type a product, shop or address name in one language, the text you typed may be sent to this service to suggest it in the other language. No customer details are sent.

Hosting and database providers that run the servers of the Service. They may handle data only as needed to provide their service to us.

5. How long we keep data

We keep your account and baqala data for as long as your account is open, and for a reasonable period afterwards where the law, a dispute or security requires it.

Tax invoices and credit notes are tax records. Saudi tax rules require you, as the taxpayer, to keep them for the period the law sets. Deleting a baqala from the Service permanently removes its records from our systems, so download or print the records you must keep before you delete it.

Links to customer credit statements stop working after their expiry date.

6. Cookies

We use only the cookies needed to run the Service: one that keeps you signed in, a short-lived one used while you reset your password, and one that remembers your language. We do not use advertising cookies.

7. Your rights and choices

You can see and correct your account and baqala details in Settings at any time, and delete a baqala from My baqalas. To ask for a copy of your data, a correction or the deletion of your account, contact us. Saudi Arabia's Personal Data Protection Law may give you further rights, and we handle requests as that law requires.

Your credit customers: you decide which customers to save, and you are responsible for telling them how you use their name and mobile number. If one of your customers contacts us about their data, we will refer them to you.

Some records cannot be erased where the law requires us or you to keep them. We will tell you when that applies.

8. Security

Passwords are stored hashed, connections to the Service are encrypted, each baqala's data is kept separate, and ZATCA device keys are stored encrypted. Cashier accounts cannot see cost prices, profit, finance pages or settings. No system is perfectly secure: keep your password private and give each cashier their own sign-in.

9. Children's privacy

The Service is for shop owners and their staff. It is not directed at children and we do not knowingly collect children's personal data.

10. Changes to this policy

We may update this policy from time to time. We will change the “Last updated” date and, when a change is important, tell you through the Service or by email.
